1. Who We Are (Data Custodian)
Indian Mediation Week (IMW), organized in strategic partnership with Sama (an Online Dispute Resolution pioneer in India), acts as the Data Custodian for this national initiative. Our mission is to spread dispute resolution awareness, train student mediators across universities, and empower citizens with consensual grievance settlement.
2. Personal Data We Collect & Purpose
Student Ambassadors & Volunteers
Collected: Name, university affiliation, email address, mobile phone number, regional circle, optional avatar photo, and statement of motivation.
Purpose: Academic credential verification by the Organizing Committee (OC), dispatch of onboarding access passkeys, leaderboard calculation, and coordination of community drives.
Citizens, RWAs & Merchant Groups
Collected: Representative name, organization category (Individual/RWA/Trade Union/NGO), email, phone number, city, and general dispute/inquiry category.
Purpose: Reviewing mediation camp requests, assigning local student ambassadors to civic clinics, and scheduling mediation assistance sessions.
3. Technical Safeguards & Privacy by Design
Strict Privacy Boundaries: Direct personal identifiers (personal mobile numbers, personal email addresses, and detailed citizen dispute narratives) are accessible strictly to authenticated Organizing Committee (OC) convenors and the National Secretariat. They are never rendered on public rosters, search engines, or public APIs.
Location Obfuscation: Geolocation coordinates for community drives are automatically rounded on public feeds to approximately a 1-kilometer margin to protect exact locations of youth participants, volunteers, and beneficiaries.
Participant Photo Consent: In compliance with strict confidentiality standards, ambassadors must explicitly certify on-ground consent from individuals identifiable in drive photographs. Uploading synthetic, deepfake, or unconsented imagery is strictly prohibited.
4. Data Retention Schedule
- Session Cookies: HTTP-only security tokens expire automatically after 7 days of inactivity.
- Citizen Inquiries: Dispute inquiries and community clinic requests are retained for up to 12 months following camp resolution or referral, after which identifiers are scrubbed.
- Rejected Applications: Registration requests not accepted by the OC are retained for 6 months for audit integrity and then purged.
- Accredited Ambassador Records: Stored for the duration of the annual edition for leaderboard and credential archiving.
